Due to scheduling conflicts, the March board meeting was held earlier in March. Below are the highlights of the March 18, 2024, meeting and other community information.
- Treasurer Report
- Mick Maguire, Treasurer, presented the financial report for the month of February.
- Budget, including reserves, are on track for the year.
- With the current projects planned for 2024 and 2025, we will have a surplus in reserves as of the end of 2025.
- Refurbishing the pool landscaping, front entrances and front landscaping planned for 2025 will be delayed until required.
- HOA Quarterly Dues
- The quarterly dues of $842.00 were due on April 1.
- Replacement of Mail Kiosks
- The board approved moving forward with the replacement of the mailboxes at the Sandstone kiosk and Limestone kiosk.
- This project will include coordination with the Post Office for the handling of the mail during the replacement of the boxes, removal of the current mailboxes, making changes to the electrical system in the kiosks, installation of the new boxes and re-coating of the floors.
- There is a 6-week lead time required after ordering the mailboxes for installation.
- There will be an impact to our residents during this project regarding mail pickup. More information will be passed along to everyone as we move forward with this project.
- Pool Furniture
- The board will start reviewing available options for replacing the pool furniture.
- New Gate Entry System Update
- The new gate access system has been ordered. Installation will be scheduled upon receipt of the new system.
- Before implementing the new call box system, Eufemia will be reviewing the current list of residents who have access to our existing call box. All unauthorized users will be deleted.
- Eufemia is working with the vendor to schedule webinars and on-site training for the new system.
- Clubhouse Restrooms Renovations – Update
- The project has kicked off.
- Cabinets have been ordered. Fixtures and mirrors have been purchased.
- As part of these repairs, any active mold found will be treated. Any new drywall required will be installed.
- Funds are available in the reserves to cover the cost of these repairs.
- There is currently no timeframe on when the repairs will be completed. Goal is to have repairs of both restrooms completed by Memorial Day.
- Restrooms will be renovated individually.
- Annual Storm Drain Cleaning
- Annual storm draining has been postponed until sometime in April.
- Erosion and Gutter Installation Project
- Work on the erosion problem on Travertine has been completed.
- Garage Usage Rule & Regulations
- Discussion was held in the meeting regarding the use of garages and use of garage doors.
- Review of existing rules and any proposed changes were referred to the Rules & Regulations Committee for evaluation.
- The Rules & Regulations Committee are to present their evaluations and recommendations at the next board meeting.
- The board will review the proposed rule/regulation and if approved, the rule/regulation will be sent to the attorney for review and an opinion, before implementing the changes.
- Realtor Signage Rule & Regulations
- Any rules and regulations regarding realtor signage has been referred to the Rules and Regulations Committee for review.
- Rules and Regulation Committee
- The Rules and Regulation Committee will be reviewing all rules and regulations for the community.
- The committee has been tasked with updating the rule/regulation, if needed, defining the enforcement mechanism, and defining the consequence for non-compliance.
- All rules/regulations will be approved by the board and sent to the community attorney for approval before implementation.
- The committee will provide an update to the board and homeowners at the April board meeting.
- Limestone Gate Exit Gate Update
- A temporary gate has been installed at the Limestone exit gate while waiting for the final repairs on our permanent gate.
- Trees, Roofs and Gutters – Homeowner responsibility
- A reminder to all our homeowners, it is the responsibility of the homeowner to ensure their gutters remain clean and free of debris. Trees also must be trimmed within 3 feet of the roof.
- Roof warranties will be null and void for any leaks if trees are not properly trimmed.
- Property inspections for gutters and trees will start in April. Homeowners will first receive a friendly reminder to clean gutters/trim trees. Violations will be issued 30 days after the friendly reminder.
- Nature’s Care – Monthly Update
- Oak Leaves
- This year, the oak trees have produced an excessive amount of falling leaves. Nature’s Care has been doing cleanup, but the leaves are falling faster than they can be cleaned up.
- If you have leaves in your yard, the leaves will be mulched into the turf as the mowing season starts.
- The leaves will not interfere with the weed herbicides recently applied to kill the weeds.
- Nature’s Care continues to remind their crews not to blow the leaves back up on the grass or towards our homes.
- Oak Leaves
- Weeds
- The community has been sprayed for weeds in March with a liquid spray and a granular slow-release application.
- These applications do not allow the weeds to regenerate or reproduce.
- The turf will re-grow where weeds have died once the growing season starts this year.
- Miscellaneous
- Greystone is divided into 4 sections for detailing. Detailing is completed once a month per section.
- Blowing of the grass/leaves is not completed immediately after the service but will be completed before Nature’s Care completes their work for the day.
- As a reminder. If you have your oak tree removed and the stump ground, the shavings must be removed before re-laying of any sod.
- Mulching of the community is being planned for April/May. More information to follow.

- Background Checks – At lease renewal
- Background checks will be required at the time of lease renewal.
- Architectural Review Committee
o Two applications were submitted. One application for solar panels was declined; one application to modify backyard landscaping was approved.
o Social Committee Update
o The community garage sale will be held in the fall. If anyone wants to sponsor the garage sale, please contact Eufemia.
o The clubhouse will be decorated for Memorial Day.
- Next Board Meeting
- The next Board Meeting will be held on Monday, April 29, 2024, at 6:30 pm in the clubhouse. All homeowners are welcome to attend.
- Next ARC Meeting
o The date of the next ARC Meeting will be held on Monday, April 22, 2024. Have your applications to Eufemia by the end of day, April 18.
